Administrative Assistant / Receptionist

Our growing company is seeking a Front Desk / Administrative Assistant to join our team! We are looking for an individual who is detail oriented and proficient in general office and bookkeeping related tasks. The ideal candidate is a self-starter who has strong math skills and is an excellent multi-tasker. Exceptional communication and time management skills are also a must. Being a rapidly growing small business, the ideal candidate must be willing to help team members in other departments as needed.


  • Answer phones in a professional manner, and route calls as necessary
  • Greet clients and visitors with a positive, helpful attitude
  • Assist management on projects as needed
  • Processing on-site purchases through a POS system
  • Review and maintain internal control systems to prevent inaccuracies in financial and inventory reports
  • Perform bookkeeping functions
  • Reconcile financial accounts monthly
  • Process incoming and outgoing shipments
  • Schedule customer pick-ups, deliveries and installs
  • Process customer quotations and provide follow up as needed
  • Process customer invoices and follow up on late payments
  • Track and maintain inventory levels
  • Issue purchase orders as needed
  • Enter new items in accounting and inventory systems
  • Generate monthly financial reports for review by management
  • Maintain ACT! CRM database

Qualifications / Experience:

  • A degree in Business, Accounting or related field is a plus
  • Proficient computer literacy and experience with Microsoft Office
  • Experience with QuickBooks Online or similar accounting software preferred
  • Experience with ACT! CRM or similar CRM software preferred
  • 3+ years’ experience working in an environment involving multiple projects
  • Ability to communicate clearly in both written and verbal correspondence
  • Strong attention to detail
  • Ability to work well in teams

Job Type: Full-time

Pay: $14.00 - $18.00 per hour
